Reporting

Hosted Solutions offers a variety of reporting methods that can be exported in various different file formats. There are four main categories that are used to break down reporting sections and provide a faster and easier way to locate sales information.

Sales & Usage

Sales & Usage reports combine information from all areas of Hosted Solutions to provide a detailed overview based on various categories of transactions and exchanges. Great for day to day tracking or the end of the month auditing. Reporting features under this header are able to separate and identify such things as daily and hourly revenue and kiosk usage. Sales & Usage reports have been broken down into 7 reports to make finding information easier and faster than ever.


Sales & Usage Reports

Daily Report

A full view of the Daily report featuring the Wash Purchase History, Redeemed History and the Visual Pie Graph breakdown of the information.

The Daily Report is easily one of the most used reports in Hosted Solutions. This report allows you to not only look at one specific date but also a date range if so desired. This makes the Daily Report a lot more informative than it's name may imply. The easiest way to define the Daily Report is to begin at the top and work down. What this report does not do is breakdown information on the individual kiosk level. All income references are the total of cash and credit combined.

Start Date & End Date
Settings a Start Date will choose at what month and date the report will begin with.

Without an End Date specified then the report will only reflect the information collected from the Start Date.

If an End Date is also specified the report will reflect the transaction information within that specified date range.

Changing either date value requires "Filter" to be clicked to pull the new information.

Location
If the information being displayed gets to be too much due to a large amount of traffic at multiple locations.

You can choose a specific location from this drop down to instantly filter out data that is not associated with the location.

You may change this at any time to instantly change the report.

Export
What good would all this wonderful information be if you could not export it for historical purposes or later use?

This button does that, to PDF or Printer. Other file formats may come at a later date.

Filter Income Items
This drop down features check boxes next to each identified income item category.

These categories are dynamic based on what is visible in the report. Unchecking any of these identified categories will instantly remove the information from the report view.

The Daily Report Sections

The Daily Report categorizes transactions based on the type of transaction. Was it an App purchase or a Wash Club Sign Up? Was it recurring billing or a deal that was redeemed? These questions and more can be answered by looking at the different transaction categories that are broken down within the Daily report.

App Wash Club Recurring Billing
This category displays any Wash Clubs. As well as the quantity of existing accounts that where billed within the set time frame.

This information also includes the price for the wash clubs subscription and sales total for that wash club within the set time frame.

An accumulated total as well as the gross revenue is also displayed at the bottom of this category.

Bundle Codes
This category displays the Bundle Code names, as well as the quantity of sold bundles that where purchased within the set time frame.

This information also includes the price for the wash bundle and sales total for that bundle within the set time frame.

An accumulated total as well as the gross revenue is also displayed at the bottom of this category.

Wash Purchases
This category shows all of the Wash Purchases, as well as the quantity of purchases per named location (if all locations is selected).

The current price of each wash item as well as the total in sales for that specific wash item is also listed.

To view the quantity separated by location on a single report, simply click the name of the wash item and the quantity will be separated.

An accumulated total as well as the gross revenue is also displayed at the bottom of this category.

Buy Ups
This category displays the available Buy Ups, as well as the quantity of each sold.

This is followed by the current price at time of sale and the total sales amount for that named Buy Up.

Clicking on any of the Buy Up names will separate the listed quantities into quantity per named location to easier identify where a Buy Up is used more.

Kiosk Sign Ups
This category displays the various Wash Clubs, as well as the quantity that get signed up for directly from Kiosk Sign Up.

This information also includes the price for the wash clubs subscription and sales total for those sign ups within the set time frame.

An accumulated total as well as the gross revenue is also displayed at the bottom of this category.

This category displays the various Wash Clubs, as well as the quantity that get signed up for directly from the mobile app.

This information also includes the price for the wash clubs subscription and sales total for those sign ups within the set time frame.

An accumulated total as well as the gross revenue is also displayed at the bottom of this category.

Gift Card
This category displays Gift Card transactions. it displays the name of the CVC transaction.

It also displays the quantity sold, the price at time of sale and the total for the sales during the set time frame.

App Purchases
This category displays the products purchased via the mobile app,

as well as the quantity, the price at the time of sale and a total sales count within the set time frame.

App Bundle
This category shows the bundles that have been sold from the mobile app within the set timeframe.

It also shows the quantity that was purchased of each app bundle within the set time frame.

This information also includes the price for each app bundle as well as a sales total for that specific app bundle within the set time frame.

Express Pass Recurring Billing
This category displays the various Express Pass clubs, as well as the quantity of existing accounts that where billed within the set time frame.

This information also includes the price for the Express Pass subscription and sales total for that Express Pass club within the set time frame.

Time
This category displays the different timers, as well as the quantity of uses within the set time frame.

This category displays the various Wash Clubs associated with RFID media.

It also displays the quantity of existing accounts that where billed within the set time frame.

This information also includes the price for the wash clubs subscription and sales total for that wash club within the set time frame.

Hourly Use Report

The Full Hourly Use Report page

This basic report allows you to itemize various transactions on the hourly basis. At a glance, this report displays counts for various types of transactions. You can select an individual location and/or a specific kiosk, as well as combine your locations and kiosks for a complete overview.

The bottom of the report gives a summary of:

  • Gross Sales - The value of the total sales listed in the report before taxation.
  • Gross Average - The average total sales listed in the report before taxation.
  • Net Sales - The value of the total sales listed in the report after taxation.
  • Net Average - The average total sales listed in the report after taxation.

The four Item types you can count in this report are listed below and any combination of the four are acceptable.
  1. Recurring Billing - This counts the amount of customers that where successfully charged from a recurring bill (typically Wash Clubs etc)
  2. Loyalty Signup - This keeps track of the total amount of users signing up from referrals.
  3. Wash - Straight to the point. How many washes were given during the hour specified
  4. Time - How many Self Serve Timer activations occurred within the hour specified.

Hourly Bar Graph

This basic report allows you to visualize transactions on a hourly graph. The graph tracks from 12AM to 11PM. At a glance, this graph displays counts for various types of transactions. At the click of a button, any of the usage categories can be hidden from the graph to display just the information you are looking for.

The Hourly Bar graph Displays Wash Purchases, Redeemed Wash Purchases, Time, App Purchases, App Bundles, Wash Club Signups, And more based on what is offered/being redeemed.


Revenue Report

The Revenue Report Page

The Revenue Report displays the Month-to-Date revenue for your locations. You can specify any date range, and filter further by location, and a specific kiosk/machine at the specific location. This report will organize activity during the date range into one of five categories.

THIS REPORT HAS BECOME OUTDATED AND SHOULD NOT BE RELIED UPON FOR 100% ACCURACY. PLEASE SEE THE DAILY REPORT FOR A MORE ACCURATE ASSESMENT OF REVENUE. THIS REPORT WILL BE UPDATED IN THE FUTURE AND THIS WARNING WILL BE REMOVED.

Revenue Report Categories and Definitions
Expand for Gross Sales Details ....
Gross Sales by Item
This section of the report shows how your sales were received based on transaction type.

In addition to seeing the dollar amount, the report also shows how the dollar amount relates as a ratio sales.

The additional 'Comp' columns to the right allow you to compare current data with historical data.

Gross Sales by Item Definitions
AppBundle - Total Amount of revenue based on Wash Bundles that are purchased via the Mobile App.

AppWash - Total Amount of revenue based on Wash purchases via the Mobile App.

AppWashClubBilling - Total Amount of revenue based on existing Wash Club Members being billed.

AppWashClubSignUp - Total Amount of revenue based on Wash Club Sign ups via the Mobile App.

BuyUp - Total amount of revenue that is collected from Buy up options on the Kiosk item.

CodeBundle - Amount of revenue that is generated by Wash bundles sold at the kiosk directly.

Fee - Revenue that is generated from any "Surcharge" feature.

Gift - Total amount of revenue generated by Gift purchases made through the Mobile App.

Parking - Revenue coming from a Parking Kiosk such as a PEET.

PrepaidPassBilling - Total amount of revenue based on existing Prepaid RFID Members being billed.

PrepaidPassSignup - Total revenue generated by new RFID prepaid signups.

Time - This is the revenue generated by your Self Serve Bay timers (DTT/DTI) .

VendPulses - When a DTI/DTT timer pulses the coin line but we do not know how long the timer runs.

Wash - Revenue collected from single wash purchases at the kiosk.

ValueCardIssue - This tracks purchase of the P2P CVC value cards.

ValueCardRecharge - This tracks the recharge of the P2P CVC value cards through a kiosk.

Income Detail
This section of the report breaks down your income by payment type.
Income Detail Definitions
Cash - Total Income Revenue that was taken in cash.

CreditCard - Total Income Revenue that was taken in Credit Card.

Pay As You Go - Total Income Revenue that was recorded for a RFID Pay As You Go transaction.

FleetCard - Total Income Revenue that was taken from a CVC/Value Card associated to fleet.

Refund Detail
This section of the report shows how many refunds were issued.
Refund Detail Definitions
Credit and card values will be listed here for any refund that occurs at a kiosk.

Redeemed Detail
This section reports the dollar values of all promotional items that have been redeemed,.

This could be deal codes from the mobile app, bundle codes, wash codes, receipt codes, Tokenote's etc.).

Redeemed Detail Definitions
AppAwardCode - When a user earns an award for loyalty or referral

AppBundleCode - When a user redeems a wash from a bundle purchased through the app.

AppDealCode - When a user redeems a deal on the app.

AppPromoDealCode - This is when a user claims a promo code through the app.

AppWashClub - Transactions that occur from the Wash Club on the App are listed here.

AppWashCode - This is Washes purchased through the app singularly.

BundleCode - When a user redeems a wash from a bundle purchased through the kiosk directly.

CodeCoupon - When a user enters a code at the kiosk for a value off or a wash.

Codes - When a user enters a code provided by a code system (usually pay at pump systems)

Event - These are transactions that are modified by event rules at the kiosk directly.

GiftCard - CVC gift card transactions

Prepaid Pass - The usage of RFID prepaid accounts.

PrivateLabelCard - Items like third party gift cards compatible with the Hamilton System.

ReceiptCode - Items redeemed by using a code at the bottom of a receipt.

RewashCode - These are Single-Use codes used to redeem a wash due to prior inconvenience.

TokenCoin - This is the redemption of token coins and the value associated with them.

Tokenote - This is the redemption of paper Tokenotes and the value associated with them.

Redeemed Detail Example:
if you offer a Free Basic $5 Wash through the mobile app for your grand opening.Then $5.00 will be reported in the AppDealCode line, even though you have not actually received that $5.00.

Similarly, if a customer enters a code coupon to get $1 off your $10 wash.

Then $10 will be reported in the Code Coupon line, even though you have received $9.00 for the transaction.

Tax Detail
This section of the report breaks down your Tax details if the Kiosk is set to collect or charge tax.

Usage Report

The Usage Report lets you see how many times specific items have been used. You can filter by Location, and by kiosk or service.

This report can be grouped 5 different ways to assist you in sorting your information.

  1. Hour - Breaks down the usage report by the hour for the selected date range.
  2. Day - Breaks down the usage report by the day for the filtered date range.
  3. Week - Breaks down the usage report by the week for the chosen date range.
  4. Month - Breaks down the usage report by the month for the selected date range.
  5. Year - Breaks down the usage report by the year for a complete overview of a single or multiple range of years.

Kiosk Item Usage
This report shows the quantity of items that have been purchased within your chosen time frame.

For example:

if 'Item 1' was your 'Ultimate Wash' and the number being shown was '71', then you sold 71 Ultimate Washes.

This would be within the selected time frame.

You can filter this report by date range, location, and item.

Buy Up Usage
This report shows the quantity of buy-ups that have been purchased within your chosen time frame. You can filter this report by date range, location, and item.

Timer Usage
This report shows the usage of your self serve bays.

It can be filtered by date and location. The information provided is date of use, time of use, # of activations, time used, and the average time used.

Pass Usage
This report shows the usage of your various RFID Passes.

This includes the Pay as You Go, Fleet and Prepaid passes.

It can be filtered by date and location, and information provided is date of use, time of use, and total used.

Sales Transactions

This report breaks down every transaction as an individual line item. You can set a date range and narrow your report by Location and/or Kiosk. You are able to identify the following information from the Transactions grid.

  • Time and date of a transaction.
  • Transaction Type (sale, refund, change).
  • Locations can also be identified for each individual transaction.
  • The kiosk Model type and Terminal Name for each transaction.
  • Terminal ID is displayed.
  • Each transaction is also labeled with a Kiosk Record ID.
  • Transaction Record ID is generated that can be used to view individual transactions in-depth.
  • And even the last 4 digits of the card used for the transaction.

Expiring Cards

This report allows you to identify customer credit cards that are on file that expire within the coming 90 days (3 months). You can use the filters to dial in your report for a more accurate view.

  • Expiring: This allows you to identify cards that will be expiring within the 90 day time frame. The number displays the current amount of cards about to expire.
  • Expired cards: Filter the report to view only cards already expired.
  • Sort by Contact Name: Sort the report by Contact Name alphabetically.
  • Active Accounts Only: Choose to display only active accounts or uncheck this to view inactive accounts as well.

Mobile App

Reporting features that are designed to give you insight into the effectiveness and success of your custom mobile app. If you have a custom mobile app with us, then this is your direct window into how the app is being used by your customers daily.

Here you can find washes being purchased to how many times they use AirPay or promotions. You will even find any Washclub reports in this category. These reports are focused on the transactions and user interactions that occur solely on the Hamilton Custom Mobile App. From invoicing, to activity tracking and referral activity.

This section is dedicated to giving you all the information you need to be able to identify successful App offerings over those that are not performing as well as you would like. There are ten Mobile App reports and they will be defined below in further detail.

Wash Club Activity

This summary page breaks down activity per individual wash club user. Allowing merchants to find the most effective wash clubs and the popularity of those offerings. Its possible to drill down to a specific day and see which clubs were used the most on that day. Quickly identify the most active user and the times and dates that they are most active with using the wash club.

The bar chart at the top of the page shows the number of wash club redemptions in a month and breaks down the amount of customers to the amount of washes.
Clicking on the Number of washes will change the graph to display the specific washes that were used by customers.

At the bottom of the Bar graph there is a table that breaks down individual wash club users, the cost of the club, the usage count and the revenue per wash. Clicking the Use Count number listed below the chart will expand the information to display what locations that user was at when they used a wash club.

  • Total Club Uses - The total amount of Wash Club Redemptions for the specified time frame.
  • Average Revenue Per Wash - The Average value being generated per Wash Club redemption within the specified time frame.
  • Average Revenue Per Club - The Average Revenue being generated within the specified time frame per individual club.
  • Start Date - The date at which to start the report scope
  • End Date - The end of the report scope.
  • Search Category - Utilize the Search list with the following items to search for. Account Name, Club, Club Price, Average Revenue Per Wash
  • Account Name - The name of the registered Wash Club user. Clicking this will lead directly to the specific profile page.
  • Club - The name of the Wash Club the member belongs to.
  • Club Price - The set cost of the Wash Club membership a month.
  • Use Count - The total count of Wash Club uses the member has used. Clicking this value will display a box of locations and times associated with usage.
  • Average Revenue - The amount of Revenue generated from the Wash Club member based on cost and usage.

App Revenue

By default, the App Revenue report will show Month-to-Date data. Specify any date range, to display the revenue generated by individual wash purchases, bundle purchases, recurring wash club payments, customers who signed up for a wash club, and even AirPay transactions. A quantity and total is displayed for each as well as an accumulated grand total.

  • Wash Purchases - Single App purchases made from within the Mobile App.
  • Bundle purchases - Wash Bundles that are purchased from the "Deals & Promo Codes" section of the Mobile App.
  • Wash Club Recurring - Existing Wash Club member transactions
  • Wash Club Signup - New Wash Club member transactions
  • AirPay Transactions - The amount of AirPay transactions done with the Mobile App and a Scanner.

Redeemed Washes

The Redeemed Washes report will display a grid of the redeemed App Washes that occurred during a specified time range. Specify any date range, to list the App Washes redeemed at all locations or a specific location. The quick filters support narrowing down the report to Single Washes, Bundle Redemptions and a total Redeemed view at the click of a button. The Total Redeemed at Location count will be updated based on the selection in the Locations drop down. An at a glance value for the total redeemed app washes is also listed above the report grid.

  • Start Date - The date at which to start the report scope
  • End Date - The end of the report scope.
  • Search Category - Utilize the Search list with the following items to search for:
    • Redeemed Date
    • Location
    • Terminal
    • Model
    • Code
    • Code Type
    • Wash
    • Price
  • Redeemed Date - The time and date that the App Wash was redeemed.
  • Terminal - The terminal name of the kiosk where the wash was redeemed.
  • Model - The actual model of the kiosk where the wash was redeemed.
  • Code - Every QR code generated by the app is associated to a 9 digit code used by Hosted Solutions. This is that raw code.
  • Code Type - This defines the type of code that was redeemed. This could be a Wash Bundle, or a single wash.
  • Wash - This is the wash that was redeemed and associated with the code being used.
  • Price - The price of the wash that was redeemed from the App.

Wash Club Report

The Wash Club Report lists all of the active club users, the packages subscribed to, and breaks down usage by location. The bottom of the report also lists an average revenue per wash figure for all wash club members.

This is the total of all monthly revenue divided by total number of all wash club uses. There is also an average revenue per wash figure for each club plan (for example, total monthly revenue for Ultimate Club members divided by total number of Ultimate Club uses).

  • Name - The name of the registered member.
  • Email - Registered Email for the user account.
  • Club - The name of the Wash Club that the user is registered too.
  • Location Names - this part of the report will vary depending on the locations chosen in the report.
  • Total Uses - Total amount of uses at the listed locations of the specific Wash Club.
  • Revenue Per Wash - This is how much revenue was actually generated from the wash club redemptions. This is based on the total usage.

Wash Club Invoices

This report breaks down the wash club invoices and the current status of those based upon the start and end date filter. An invoice ID is given for each individual transaction and links to an invoice document for saving or printing. This report also lists the date the invoice was paid as well as a quick link to the Record ID.

Utilizing any of the 8 quick filters above the report grid will display just invoices matching the described status such as Paid, Pending, Charge Error, Error, Canceled, Automatic Billing, Manual Billing, and Total Invoices. These quick filters can help sort through reports spanning multiple dates.

  • Pending: This invoice is in the process of being submitted for payment.
  • Charge Error: The card on file has encountered an issue during processing. This is usually followed by a detailed response from the payment gateway. Example: (Error processing Exact transaction), (Duplicate Charge) Etc...Clicking on a Charge Error may allow you to re-attempt billing, mark the account paid or even set charge to cancelled.
  • Error: Something has occurred that did not allow the charge to go through. Double check the customers information and card info to make sure there are no errors. You may contact Hamilton Customer Service for further information.
  • Paid: The invoice was charged and paid successfully; you should see a Date Paid in the lower report.
  • Canceled: The customer has either cancelled their membership or there has been a change to the account which deems it no longer valid.

AirPay Transactions

A quick and easy report that displays all the relative AirPay information. Confirm the amount as well as the card information that was registered to a specific AirPay transaction. The card holders First and Last name is also displayed for confirmation.

  • ID - This is the transaction ID number for the specific transaction.
  • Location - Location name for the specific site where the AirPay transaction occurred.
  • Date - The date of the AirPay transaction.
  • First Name - The registered users first name.
  • Last name - The registered users last name.
  • Email - Email address of the registered user.
  • Transaction Type - What was the AirPay transaction used for (Ex. Purchase).
  • Amount - The exact amount of the AirPay transaction.
  • Card Type - The type of credit card associated with the AirPay transaction (Ex. Mastercard, Visa).
  • Card Number - A shadowed copy of the card number associated with the AirPay account. The last 4 digits are visible for verification purposes.

AirPay Revenue by Location

Similar to the AirPay Transactions record up above. This report quickly sorts out the AirPay transactions by location. A separate drop down is provided for each location. Within the drop down for a specific location you can find a quick summary of transactions sorted by date. You can find the card holder's name as well as a registered email address and the type of kiosk the transaction was made at. The amount is listed for each individual transaction as well as an overall sum across the top of the report grid header.

  • Date - This is the date the AirPay transaction occurred.
  • Name - First and last name of registered member that is using the AirPay.
  • Email - The registered Email of registered member that is using the AirPay.
  • Location - The location of the AirPay Transaction
  • Model Type - This highlights what type of Kiosk this transaction occurred at.
  • Amount - The amount of the AirPay transaction.

Promo Code Report

This report provides a way to monitor the usage of the various promo codes created through Hosted Solutions for use on the custom mobile app. A drop down menu is provided to sort through individual promo codes or all created promo codes. Two central buttons are located at the top of the page beneath the drop down choice selector that allow you to at a glance quickly decide how many promo codes have been claimed by users and how many of the promo codes have actually been used by users that have claimed them. Each button can be clicked to quickly filter the report to display just those codes that have been claimed or used.

  • Name - The name of the registered user that entered the promo code.
  • Email - The email address of the validated user.
  • Deal Name - The name of the Promo Code deal.
  • Code - The 9 digit Hosted Solutions code for the specific Promo Code claim. This number is unique per Promo Code claim.
  • Code name - The name of the promocode as set in the promo code deals page.
  • Claimed - The date and time the Promo Code was entered into the app and claimed.
  • Redeemed - The date and time the Promo Code was used at a kiosk.

Claimed Deal Report

To break down the amount of deals being claimed as opposed to how many deals are actually redeemed, this report allows you to separate them and be able to identify the deals and promotions that are more popular amongst your customers. Set your start date and your end date to limit the range of days you would like to get a report on.

To provide visual separation, you will see quick filters across the top of the grid report of various colors.

  • Name - The name of the registered user that claimed the deal.
  • Email - The email address of the validated user.
  • Deal Name - The name of the deal.
  • Code - The 9 digit Hosted Solutions code for the specific deal claimed. This number is unique per individual deal claim.
  • Claimed - The date and time the deal was claimed.
  • Redeemed - The date and time the deal was used at a kiosk.

App Referral Report

This report will organize each user and their referral activity within a set time range. Having this information at your disposal can assist you in making sure your referral program stays effective in your market.

To provide a quick visual separation, you will see a few banners across the top that are different colors. This group of colored banners show the following information:

  1. Dark Blue: This has the top referrer and the total amount of referrals for the given time span.
  2. Light Blue: This gives a quick count of the Loyalty Points that have been given during the selected time span.
  3. Red: The total amount of referral Purchases for the selected time span.
  4. Orange: A total count of referral Sign-Ups within the time span chosen.

Using the App Referral Report

Set your start date and your end date to limit the range of days you would like to get a report on, and then press the Filter button.

Member information is displayed and sorted by:

  • Name - Click on the user name to go directly to the user profile
  • Email - This is the email used by the user to sign into the app.
  • Referral Sign-Ups - This not only displays the current count for the time period set, but also expands to list the details of those referrals, such as name, Wash Club status and Email. Clicking on the referral name will display the user profile for the specific account.
  • Loyalty Points Earned - Total amount of loyalty points earned for the referrals in the specified time span.

ExpressPass

A central location to see an overview of your RFID customers activity as well as detailed account usage and invoices. ExpressPass houses the reports to analyze and dig down into RFID traffic. These reports can show you how popular different tag offerings are as well as what revenue is coming from the ExpressPass RFID plans.

ExpressPass Activity

This summary page breaks down activity per individual ExpressPass users. This allows you to find the most effective ExpressPass programs and the popularity of those offerings. You can drill down to a specific day or date range and see which Passes were used the most during that time. You can also quickly identify the most active user and the times and dates that they are most active with using their pass.

The bar chart at the top of the page shows the number of wash redemptions in a month and breaks down the amount of customers to the amount of washes. Clicking on the Number of washes will change the graph to display the specific washes that were used by customers.

At the bottom of the Bar graph you will find a table that breaks down individual ExpressPass users, the cost of the club, the usage count and the revenue per wash as well. Clicking on the Use Count listed below the chart will expand the information to display what locations that user was at when they used the ExpressPass.

  • Account Name - The name of the registered user. Click the Account name for a quick and easy way to look at a users details in case adjustments for the ExpressPass have to be made on a per user basis.
  • Account ID - This number relates directly to the user account on file in Hosted Solutions.
  • Club - The name of the Pass the member belongs to.
  • Club Price - The set cost of the ExpressPass a month.
  • Use Count - The total count of pass uses the member has used.
  • Average Revenue - The average amount of revenue generated from the ExpressPass member based on cost and usage.

All Usage

The All Usage report allows you to select a time frame and populate a report of all ExpressPass activity in that time frame. This report can be filtered down based on a specific RFID tag number OR License Plate number, the last name of a customer, or even a specific Account ID. The option to arrange this information in ascending or descending order also helps sort the information how you wish to view it.

  • Start Date - The date to start looking for reporting information.

  • Name - The name of the member.
  • Loyalty Account ID - This is the member ID associated with a specific member.
  • Name - The first and last name of the member.
  • Media Type - Whether this was a RFID Tag or a License Plate read.
  • Media ID - The last several numbers of an RFID tag or the License Plate number of the Vehicle.
  • Transaction Time - The date and time of the RFID or License Plate being read.
  • Transaction Type - This identifies the Pass program the asset belongs to. (Daily, Prepaid, Pay As You Go)
  • Loyalty Record ID - This is like a transaction ID to help keep track of a specific occurrence with a member.
  • Transaction Record ID - Clicking this link will display the invoice for this transaction.

ExpressPass Invoices

The Invoices report can provide the invoices generated between a starting and ending date. You can find the results of a specific invoice, generate a printable copy for a customer, and access a customers account directly if you need to change billing terms.

Codes

Quick and easy way to find what Single-Use codes have been generated and who the code was distributed to, as well as the item associated with it. The liability report can show you how much value you currently have out in codes and help you adjust expiration dates and times to reduce overall liability.

Single Use codes

This report displays a start and end date range to populate the grid with single use codes that where created within the set time frame. Once a time frame has been set, clicking on Filter will display the results. Further sorting can be done by clicking on any of the grid headers or by filtering with the Search Category drop down and specific key words. The search categories match the headers of the grid. The definitions for these headers/categories are below.

  • Code - The 9 digit Single Use code generated for the customer.
  • Issue Date- The date the Single Use code was generated.
  • Expiration Date - The date the Single Use code is set to expire and no longer be redeemable.
  • Used Date - The date the Single Use code was used at a kiosk.
  • Name - The name of the wash package associated with the Single Use code.
  • SKU - The Unique SKU for the wash package if one was created. (Ex. WASH 3)
  • Item ID - The actual Item ID or Vend Position of the wash item associated with the Single Use code.
  • Email - The full email address of the customer who the Single Use code was sent to.

Code Liability Report

The Code Liability report gives you an in depth look at the entire code usage. This means whether the code is from a wash being generated by the custom Mobile App, being put on a receipt or issued form the Single Use code section. The code and all the information associated with it can be found in this reporting grid. The main objective is to be able to identify not only the total liability of codes but also to identify this on an individual level to better gauge code usage.

  • AppAward - a code used to present a Mobile App user with an award wash item.
  • AppBundle - a code that is associated to a wash bundle sold on the Mobile App.
  • AppWash - A code associated to a wash package on the Mobile App.
  • Bundle - A wash bundle generated at the Kiosk. These codes are associated with the remaining washes.
  • Receipt - These are codes generated at the bottom of receipts.
  • Code - The 9 digit code generated for the customer.
  • Code Type - This identifies the origin of the code, such as AppAward or AppWash.
  • Description - The name of the wash package, the SKU and the Item ID of the Wash Item that is associated with this code.
  • Issue Date- The date the Single-Use code was generated.
  • Expiration Date - The date the Single-Use code is set to expire and no longer be redeemable.
  • Liability Per Use - The value of a Single-Use of this code.
  • Max Uses - How many times the code is allowed to be redeemed.
  • Remaining Uses - How many times the code can yet be redeemed.
  • Total Liability - The total value of a codes redeemability.
